How fast can a cohort go live?
Most partners are live within two to three weeks of kickoff: we encode your requirement checklists, set up your branded portal and consent forms, and onboard your coordinators on the dashboard. Mid-semester starts are fine - we prioritize the students closest to their placement dates.
Can you match our exact program requirements?
Yes - that's the whole point. Each program or facility gets its own checklist: which immunizations need titre proof, TB testing rules, police check recency, CPR level, mask fit, and any site-specific training. When a placement partner changes a requirement, we update the checklist and re-flag affected files automatically.
Who pays - the institution or the student?
Both models work. Some partners fund verification as part of program fees; others have students pay per review, like they would for a police check. We'll price both options in your proposal - volume pricing applies either way.
How do we see compliance status?
A live dashboard shows every student or staff member's status - cleared, in review, or deficient with reasons - filterable by program, site, and start date. Exportable, audit-ready reports for accreditation reviews and placement partners are included.
What happens when someone isn't cleared?
They receive an itemized deficiency notice - each missing, expired, or incomplete document with exactly what's needed. Our team handles the reminders and the free return review. Your dashboard shows who's stuck and why, without your office running the follow-up.
How is student and staff health information protected?
Every individual signs an express consent form before anything is collected. Files are encrypted in transit and at rest on Canadian infrastructure, retention is limited to what the clearance requires, and our privacy pack - handling practices, safeguards, and standard agreement - is available for your privacy office before you sign anything.
Is this notarization or an immigration medical exam?
No. Our clearance reports verify documents against placement requirements - they are not legal attestations. Notarization requires a notary public or commissioner of oaths, and immigration medical exams can only be performed by IRCC-designated panel physicians. We keep this boundary clear on every report we issue.
